How Restaurants Can Use AI to Answer Phone Orders
What is AI phone ordering for restaurants?
AI phone ordering means an AI agent picks up when a customer rings the restaurant, takes the order in normal conversation and sends it to the kitchen. Nobody on staff has to touch the phone.
For the customer it's just a phone call. They ring the usual number, order, hear the details read back and hang up. In the kitchen, the order shows up the same way an online or counter order would.
Why restaurants are using AI phone agents
The phone rings most when staff have the least time to answer it. Friday night, Saturday lunch, bank holidays. Everyone is on the pass or the till, the phone keeps ringing, and eventually the caller gives up and orders somewhere else.
The usual fixes all have a catch. Hiring someone to answer the phone is expensive, and it's hard to roster for demand you can't predict. Voicemail barely helps - most people hang up, and anyone who does leave a message has probably ordered elsewhere by the time you ring back. You can push people to order online, and some will. Regulars who like to call will often just call a competitor.
An AI agent answers every call, whether or not anyone in the restaurant is free.
How AI phone ordering works in practice
When a customer calls:
- The agent answers within a ring or two
- It greets the caller and asks what they'd like
- The customer orders the way they normally would - naming items, asking questions, changing things
- The agent works out what they want and reads it back
- If they ask about allergens, it answers
- It gives an estimated collection or delivery time
- It confirms the order and ends the call
- The order appears on the kitchen display
Current systems cope with regional accents, menu shorthand and people changing their minds halfway through an order. Complaints, or anything too unusual, can be passed to a person.
What AI phone agents can handle

|---|---|
| Standard menu orders | Yes |
| Item modifications | Yes |
| Allergen queries | Yes, if set up properly |
| Collection time estimates | Yes, when connected to the POS |
| Delivery queries | Yes |
| Order confirmation by SMS | Yes |
| Loyalty account integration | Depends on the platform |
| Complaints | Partly - best handed to a person |
| Complex or unusual requests | Partly - best handed to a person |
AI phone ordering vs staff answering the phone
| AI phone agent | Staff handling calls | |
|---|---|---|
| Calls answered at peak | 100% | Whatever staff can get to |
| Order accuracy | Consistent | Depends who picks up |
| Cost per order | Low fixed cost | Staff time on every call |
| Extra capacity | Instant | Means hiring |
| Hours | 24/7 | When staff are in |
| Data and reporting | Automatic | Manual, or none |
What to look for in a restaurant AI phone agent
POS integration comes first. If phone orders don't drop into the kitchen system on their own, someone still has to type them in and you've saved nothing.
The agent needs the live menu: what's on, what's sold out, what's on promotion today. If someone has to update it by hand, it will fall behind.
Allergen answers have to be right. In the UK that's a legal requirement under the Food Information to Consumers Regulation, on top of being basic customer service.
When the agent can't deal with a call, it should hand it over to a human cleanly. Nobody wants to be stuck going round in circles with a bot.
You also want reporting - how many calls, at what times, what people ordered and spent, and what they asked about. That feeds into menu changes, rotas and marketing.
How much does restaurant AI phone ordering cost?
It depends on the provider. Most charge a monthly subscription, and some add a fee per call or per order. It usually costs a lot less than paying someone to answer the phone, and it works 24 hours a day.
Don't compare the price against zero. Compare it against what you're losing on the calls nobody picks up right now.
Flipdish AI Phone Agent
Flipdish AI Phone Agent is built for restaurants and connects directly to the Flipdish POS system. Phone orders go into the same kitchen queue as online and counter orders, so staff aren't watching a separate channel.
It reads from the live Flipdish menu, so prices, availability and promotions are always current. Modifications use the options already set up in the POS. There's no second menu to maintain.
Groups with several sites can run it across all of them. Call volumes, order data and performance for each location show up in the Flipdish dashboard next to the figures from every other ordering channel.
The Flipdish AI platform also includes AI Marketing, which handles automated customer messaging. Once someone has ordered by phone, you can follow up with them directly.
Is AI phone ordering right for your restaurant?
It makes sense if:
- You get a lot of phone orders, especially at peak times
- Calls regularly go unanswered during service
- Nobody is dedicated to the phone and you can't justify hiring someone
- You want phone orders going straight into the kitchen system
- You run several locations and want calls handled the same way at each one
If phone orders are a small part of the business and staff already keep on top of them, or most of your customers have moved to ordering online, you probably don't need it.
